Role Overview

The Treasurer is responsible for managing the financial affairs of Wigan Chess Club to ensure its long-term sustainability. This includes overseeing all financial transactions, maintaining positive cash flow, and safeguarding the club’s assets. The Treasurer plays a key role in maintaining the financial health of the club, liaising with external stakeholders, and ensuring compliance with financial obligations.

Key Responsibilities

Financial Oversight

  1. Financial Management: Manage the club’s financial affairs, ensuring all income and expenditure align with the club's objectives and constitution.

  2. Safeguarding Assets: Protect and safeguard the financial and operational assets of the club.

  3. Expenditure Oversight: Approve all financial expenditures, ensuring all spending aligns with the club's budget and guidelines.

    • Expenditures above £50 must be presented to and approved by the committee.

  4. Fines Management: Handle payment of any fines incurred by the club to the Warrington and District Chess League or English Chess Federation and ensure reimbursement by responsible members.

Financial Reporting

  1. Annual Financial Statement: Prepare a detailed financial statement for the Annual General Meeting (AGM), summarizing the club’s income and expenditure over the preceding year.

  2. Reports for the Committee: Provide regular financial updates and cash flow projections to the committee, ensuring informed decision-making.

  3. Proposal Review: Review and assess financial proposals and budgets submitted by members, advising on their impact on the club’s financial position.

Membership and Payment Administration

  1. Membership Fees: Oversee the collection of membership subscriptions, ensuring timely payments to maintain positive cash flow.

  2. Rental Payments: Liaise with St Judes Social Club management to negotiate and manage rental charges, ensuring timely and accurate rental payments.

Banking and Transactions

  1. Bank Account Management: Act as the primary signatory on the club’s bank account(s).

  2. Transaction Authorizations: Authorize payments for purchases and services as decided by the committee.

Leadership and Governance

  1. Committee Leadership: Preside over committee meetings in the absence of the President and Secretary.

  2. Constitution Compliance: Ensure all financial activities adhere to the club’s constitution and governance standards.

Accountability

The Treasurer is accountable to the Wigan Chess Club Committee and its members, ensuring transparency and the efficient management of the club’s finances.
